1. Who we are
PropFlow Ltd ("PropFlow", "we", "us", "our") is a company registered in Northern Ireland building an AI-powered residential property platform. This notice explains how we handle the personal data you give us when you join our pre-launch waitlist at propflowai.co.uk.
For the purposes of UK GDPR and the Data Protection Act 2018, the data controller is PropFlow Ltd. You can contact us at hello@propflowai.co.uk.
2. What we collect
When you join the waitlist we collect only what the form asks for:
- Email address (required)
- Name (optional)
- Your role — seller, landlord, buyer, tenant, investor, agent, or other (required)
- Market of interest — Northern Ireland, Republic of Ireland, or Great Britain (required)
- Postcode (optional)
- The date and time you signed up
- The source — i.e. which version of our landing page
We do not collect financial information, identity documents, or property data through this website. When the full PropFlow platform launches, a separate, more detailed privacy notice will apply to the additional categories of data we process there.
3. Why we use your data and our lawful basis

Our legitimate interest is the orderly pre-launch operation of our business. The processing is limited to data you have voluntarily provided through a form. You can withdraw consent any time — every email contains an unsubscribe link, or you can email us at hello@propflowai.co.uk.
4. Who we share it with
We use a small number of trusted processors to operate the waitlist. They process your data only on our instructions and under written data-processing terms.

We do not sell your data and we do not share it with third parties for their own marketing.
International transfers. Where personal data leaves the UK or EEA — for example to a processor in the United States — we rely on the UK Addendum to the EU Standard Contractual Clauses, the EU–US Data Privacy Framework where applicable, and equivalent safeguards.
5. How long we keep your data
We keep waitlist entries until whichever of these comes first:
- You unsubscribe or ask us to delete your data;
- 24 months after PropFlow launches publicly in your market and we have invited you to sign up.
After that, we delete your record from our active systems. Backups are routinely overwritten on a rolling basis.
6. Your rights
Under UK GDPR and the Data Protection Act 2018 you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Have your data erased ("right to be forgotten")
- Restrict or object to processing
- Data portability — receive your data in a portable format
- Withdraw consent at any time, without affecting prior lawful processing

7. Cookies and local storage
This website does not use marketing or analytics cookies. Your browser stores a local copy of your waitlist submission in your own browser, using localStorage, so we can recognise that you've already joined. This data never leaves your device. Clearing your browser storage removes it.
8. Security
Submissions are sent over HTTPS. Access to waitlist data is restricted to the founding team and the named processors above. We will notify the Information Commissioner's Office and any affected users without undue delay if a personal data breach is likely to result in a risk to your rights and freedoms.
9. Children
PropFlow is not directed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has submitted data through this site, please contact us so we can delete it.
10. Changes to this notice
We will update this notice as the platform evolves — particularly when we begin to process property documents, photographs, mortgage and conveyancing data on the full PropFlow platform. We will email waitlist members of any material change.
11. How to complain
If you are unhappy with how we have handled your personal data you have the right to complain to the relevant supervisory authority. Please contact us first at hello@propflowai.co.uk so we can try to resolve it.
